I have found out that this Fix Pack will not install on Ubuntu 10.10. I get the following error message:

error in Version string '8.5.2-20110711.1400_FP3': invalid character in revision number

I discussed this with a friend at IBM Singapore and they suggest that I raise a support item. So I did that. I have to say IBM support was amazingly quick and came back with the following repost:

Unfortunately, the release of Ubuntu that we do officially support is 10.4 for 8.5.2, and that detail is available here,
So, we would suggest dropping Operating System back to 10.4 and retry the FP3 upgrade. .

So there you have it, straight from the horses mouth.

The moral of the story is check the application that you want to upgrade is supported by your operating system, Also check the other way round before upgrading your OS check that the app supports it. I am also running Symphony and Sametime, all work perfectly. In fact if you get the right fonts it looks just as good as under Windows. I thoroughly recommend Notes under Ubuntu.

If any one would like a set of instructions for installing Notes under Ubuntu, its a touch more complex than Windows but well with any competent user, I will happily send you then, please write to me at:

nichalliwell99 at gmail.com

Whilst on the subject of things running in Notes, I have been trying out SpamSentinel MBE, its an add on that allows you to sort incoming mails in to several in-boxs. there is a Newsletters mail box as well as an others and Junk. To get a mail in to the right in-box, you simply drag it to that in-box and it then it remebers that all mails from that person go into that box.

It has to be setup under Windows and not Ubuntu, but in any organisation that uses SpamSentinel you are most likely to have a Domino Administrator who will use the Windows Notes Administrator. I really hope that mayflower consider making the installation work under Linux.

I think that there product is still in Beta as I have several minor problems, even under Windows. I have talked to Chris in Support and he has confirmed the issues and that they are working on them.

Will keep you informed, mean while this is what it looks like:
<div class="separator" style="clear: both; Notes is like any IT system and has its limitations.

The limitations in some cases are actually artificial, for example the Notes database size, this limit is what IBM will support up to, I have seen Notes databases with 80 Gb in. Also please bear in mind that if you use DAOS then the database will be much smaller as all attachment get striped out and help out side the .nsf structure. So a Notes mail file or other databases run within a DAOS environment will in fact be able to contain a massive amount of data.

My personal e-mail file is over 11 Gb, and so far has not casued the slightest problem, its even running of a not too piowerfull server.

www-304.ibm.com/support/docview.wss?uid=swg21308379

Review of 2010

Well what happened in 2010.

Sorry have not been on line over the last nine months, but started my Cancer treatment In June this year and was sick from that, when not being sick from the Chemo I was working pretty hard. Prior to June was pretty ill with the cancer, and had very little energy, so was not doing much. Had lots of Family Visits, My Son and Daughter from the UK Came out in July and September, Mum came out November, plus friends from BKK have been very good in visiting me, in particular I would like to Thank Howard and Maurice, who has been round several times to see how I am.

On the Notes front Installed 8.5.2 gold as well as Domino. Got Traveler up and running ion 8.52, all appears to work well.

Moved on to 8.5.2 CD2, but have had many problems installing it, so still working on that, may be need to wait for the next code drop to come out.

8.5.2 works nicely especially like the in line auto spelling checker, thats great saves time and miss spellings.

Built a Ubuntu Notes client, using Ubuntu 10.10, works really well. Have been able to use Ubuntu in place of Windows, every time I had an issue where I had software on Windows was always able to find an equivalent or better in Ubuntu, so am pretty impressed. Also did a Ubuntu 64 Bit Domino install, much more difficult to setup I was told by Stephan Wissel that I should have used the Ubuntu 32 version make with PAE as that will address up to 32 Gb of RAM. So thats the next project for the new year.

Also built a FreeNAS server, went very easily and I now have a 1 TB NAS, which will shortly get extended to 1.5 Tb. Its much cheaper to do that than bay a propriety NAS. Used an old Pentium 4, 2.0 Ghz Dual core. 1 Gb RAM. And 2 x 500 GB Western Digital SATA disks. But even that spec is too much, the CPU has never gone above 1600 Mhz and usually sits below 1000 Mhz, RAM never above 350 Mb. So could have used a much smaller system. Can recommend building a FreeNAS to any one the costs are so cheep especially if you have old kit lying around.

Garn, my wife, is off to do some work for a customer in Cambodia. She will be setting up his HR system and also some other Notes stuff, likely to be out there for several months. Its going to be a challenge for her, but one to which she will surly rise to.

During early 2011 we will run down Evergreen Comware and change to Comsoftware, Evergreen Comware is an old company that we brought many years ago it has several Frang as directors and chairman, this make it much harder to actually do things and the report and paperwork is horrendous. So Comsoftware has been formed under new company rules that allow only 3 shareholders and a single person as the manager, so its much easier and cheaper to operate. Also the name does not reflect what we do, where as Comsoftware does, I feel.

Looks like we have a few interesting project coming up in the new year, so I am hoping that 2011 will be a good year, I can get over the Cancer and start to lead a normal life, however I still have 7 more treatment to go through which will take me through to almost the middle of the year.

I want to wish all who know me good luck for 2010 and hope that all your dreams come true.

SAWATDEE PI MA, Happy New Year

Nick

Sending someone your calendar

I came across this set of features the other day, its really neat, you can as well as sharing you calender, you can actually send it to someone.

Open your calendar and then click on file and then print, then in the section labelled: What to Print, you will see a line that says: Print Calendar to a document. As shown below.

<a href="http://2.bp.blogspot.com/_ncqhCDnyNI0/S6xegtnNa_I/AAAAAAAAACU/WwWOb7BPgsg/s1600/Calendar+what+to+print.jpg" imageanchor="1" style="margin-left: 1em;
I think this is a really neat feature that very few people now about.

You can actually tart it up and add a 3 month header on to it which looks really neat, I have also added the Location and Chairperson.
<div class="separator" style="clear: both; This is of course sensible and make life easier for all. However there are issues that you need ot be aware of, these are delt with in the IBM Wiki for Spelling. Please have a look.

Ed Brill recently comment on this and said:

In Notes 8.5.1, we changed the client's spell check engine. The new engine is also used by Symphony and Sametime. It is based on IBM's own LanguageWare tools, and gives us a lot more flexibility.

A number of additional languages are available to plug into the new spell check engine. Technote 1411732 explains how to find those and install them. They are basically provisioned through the same approach as sidebar plug-ins and other updates to the Eclipse-based Notes 8 environment.

Almar Diehl saw the technote and suggested using the widget catalog as another way to distribute additional dictionaries.

What would be reall good is of you only had a single dictionary for your corrections across all you products, but I guess that that will come in time.

Notes 8.5.2 Beta

I am currently beta testing Notes 8.5.2, whilst this is meant as a bug fix release, I have discovered a couple of new and quite interesting additions.

The 1st is in the Text dialogue box that appears when you are editing or creating a new mail. There are 2 new buttons on the bottom of the text box, one is to set Permanent Pen the other is to set Mail Font. Very easy to use just select what you want in terms of font and colour and size etc. then click either button, job done.

The other one is on the replication page, rather than have a single progress bar at the bottom you now have a progress bar for each database that is replicating, I also notice that replication now appears to be multi threaded, in that it looks like more than 1 database will be replicating at the same time. You can see progress bars with different percentages and numbers. It also feels quicker.

<a href="http://2.bp.blogspot.com/_ncqhCDnyNI0/S3tlOCkIkNI/AAAAAAAAACM/wqfQmD0D9wM/s1600-h/sshot-2.jpg" imageanchor="1" style="margin-left: 1em; Domino could be the answer that provides a number of options for meeting your business needs in a single integrated platform that is rich with possibilities, making it a great value proposition. Martin Leon shows you how to make the most of your investment in Domino by understanding what it can do for you.
If you're looking to make the most of your hardware and software investments, Domino could be the answer that provides a number of options for meeting your business needs in a single integrated platform that is rich with possibilities, making it a great value proposition.
Beyond the core architectural features discussed in the first article in this series (security, replication, client/server integration, and multiple programming languages), there are a number of built-in services bundled with a Domino server. These services don't have to be run by every Domino server in your network.
In fact, it wouldn't make sense to have them running on all. These optional services give you more uses for your Domino server, thus leveraging your investment in the hardware that's running Domino as well as your Domino administration staff.

Services in the Box
Included with every Domino server is an SMTP/POP3/IMAP mail service and mail router that lets you create an email distribution network. You can use these built-in features to send and receive mail within your organization and across organizations via the Web.
For a small business, a single Domino server could provide this essential business service along with application services. For larger corporations, you can configure servers in multiple corporate locations to route internal mail within the Domino server network using a single server to route all in-bound and out-bound Internet mail.
The single server acts as your Internet mail router. And because you have your choice of Notes mail, SMTP, POP3, or IMAP, you can use whatever mail client you choose.
The Domino server includes a Replication Manager service that manages the replication of databases between servers as well as between clients and servers.

NOTE
I covered replication in the previous article, "Domino is Not Dead: Why Now Is a Good Time to Consider a New Value Proposition."

The Replication Manager service uses the server configuration documents in the server's Address Book to orchestrate the replication of data between the servers in your network. You can configure which server initiates the replication and whether it's push, push/pull, or pull replication.
Also, you can configure the replication schedule, including which days and times the replication process should perform replication. The Notes Client can be set up with a replication schedule.
As previously mentioned, with the addition of Domino OffLine Service (DOLS) on a workstation, any of the Domino applications that are under the control of DOLS will be automatically replicated when the host server becomes available. However, you still have the option to configure replication on the schedule of your choice.
Your Domino server includes an LDAP server that utilizes Domino's security and directory capabilities. The Notes Address Book (NAB) is the glue that holds your Domino network together. The NAB contains all the information required to enforce security, it identifies all the servers within the network, it contains the server configuration documents for all the servers, it contains the identities for all authorized users, it contains the user groups that make it easier to manage security access, and it contains other configuration documents for the Domino environment.
The LDAP service makes the NAB available as an LDAP directory. The NAB can also be used to provide authentication information and can be integrated with other LDAP directories.
There are several other utility services that are included and can be run as needed on your Domino server. Domino Server comes with a Calendar Connector service for the built-in calendaring capabilities. You get the aforementioned HTTP service, which in addition to providing standard HTTP services does the automatic transliteration of Domino design elements for presentation on a web client.
Agent Manager executes code that would normally be executed on a client. And finally there is the Schedule Manager, which manages the execution of scheduled agents.
The services that I have described above are the foundational services that comprise your Domino server. In addition to them, there are a number of Lotus and third-party add-on services that you can purchase for a variety of purposes.
For example, Domino LEI (Lotus Enterprise Integrator) lets you "replicate" data with other database systems such as Oracle and Microsoft SQL server.
There are third-party services such as virus scanners for email, and a service that provides version control for your Domino design elements. All in all, the Domino server provides a rich set of services and an open architecture for additional services to be added. And as mentioned in the previous article, if that's not enough, you can create your own add-in service.

Domino is Not Dead: Why Now Is a Good Time to Consider a New Value Proposition

I came across a really good article yesterday, which looks like it was written on Christmas Day. Someone need to get a life!! However I digress.

The Article is all about Notes/Domino and and starts by giving a ringing endorsement to Notes.

I have been a Domino developer for the past 13 years, and for as long as I have been working with the platform, I am continually surprised and dismayed to have to explain to technical recruiters or interviewers what Lotus Domino is and what you can do with it. My dismay is because although there are a few key features that make Domino stand out from other application development platforms, I've heard repeatedly throughout my tenure as a Domino developer that "Domino is dead."

Thus, I write this article to set things straight.

The Author then goes on to discuss a brief history of Notes and looks at how secure Notes is. One quoye I love is:-

Domino servers can be configured to accept only encrypted network connections. As a result, your data is secure in transit, even when connecting over the Web. Secure transit effectively makes your Domino server network as secure as any VPN without the need for any other software or hardware. This is impressive given that Domino server has been providing transit security for free, even before VPNs were a gleam in Cisco's eyes!

Martin describes the Domino replication model say that Domino had replication way before anyone else even realised that you needed it.

He also describes Notes as "1 Platform many Languages" I really think that this is a key feature of Notes, the ability to do programming in 1 of several languages. The simple @ command language is great for someone who is a beginner and is very powerful all by its self. It allows lookup of data from its own database of to other database, thus it is possible to have Notes lookup data from another Notes Db and import that data into the current databases. You can also use the Lotus Script language, which is a superset of Visual Basic and go one right the way up to Java. Can Exchange come even close?

This article is 1 of 3, can't wait for the rest.

You can read the whole article at this URL:
http://www.informit.com/articles/article.aspx?p=1431315

Notes is 20 years old

What a mile stone, 20 years old and still growing, changing and meeting the needs of customers.

As some of you may know I started using Notes version 1 at the end of 1990, about 1 year after it was launched, in those days there was always some new software being launched, which you had to try. Very often IT professionals were given a copy of the latest software.

So many good software products have disappeared over this time period, products like Wordstar, Word Perfect, Dbase, Lotus 123 and just so many others.

Its a testament to Notes that not only is it still with us, but its here and growing, I hear that IBM will be telling the world, very soon, that there are now over 150 million users and that the growth rate is increasing.

Everytime when Lotus releases a new version there is a significant step forward in what Notes can do and how useful it is to business. When 8.5 was released it had DAOS, which allowed attachments to be removed automatically from the mail file and stored separately. I have heard of a mail file going down from 79 Mb to just 10 Mb, that is a pretty amazing reduction in file size.

With Notes 8.5.1 we got the new Domino designer, which is now free for anyone, this is a full Eclipse designer and allows the Notes developer to create far more creative and powerful applications, especially web based apps, using xPages.

<a href="http://2.bp.blogspot.com/_ncqhCDnyNI0/SyG30tIouAI/AAAAAAAAAB8/7ImvAWYeJJQ/s1600-h/Notes+1+UI.jpg" imageanchor="1" style="clear: right; website.

Now for those of you who don't know what Android is, its Google's mobile phone operating system, that anyone can down load and use. Its free, its open source.

For those who don't know what Eclipse is, Eclipse is a multi-language software development environment. Why is this relevant, well Eclipse is what Notes 8 is built with. The Notes 8.5 designer is an Eclipse designer. OK follow me so far? So we can now build Notes apps directly into mobile phones based on the Android OS. Something that Apple will not allow.

The one feature I think that will ultimately kill the iPhone is the Android SDK. You can download the Android SDK for Windows, Mac, and Linux and you can also just install it into your existing Eclipse IDE. Just having this available to all Eclipse developers is HUGE. This means you can start playing immediately without owning a specific OS/Computer - like a Mac.

This is a consistent mistake Apple makes over and over and it just shocks me, now Google is taking advantage of it. Don’t get me wrong I think Apple makes great products but the entire “we need control” mentality just exhausts everyone. If the Android devices end up being better hardware than the iPhone then I don’t see how iPhone will be able to compete. I know there is a lot of talk about the iPhone becoming more open and moving to other carriers but I think it just may be too little too late - maybe. Android is around the corner Apple - get moving!

As anyone who know me, will know I am no lover of Apple products, yes they are slick and amazing well marketed but as a piece of technology they are generally a long way behind.

Notes 8.5.1 Now IBM is ready to compete

Found this really good blog entry re 8.5.1 from the Button group, these people are independant and usually make a lot of sence in what they say.

http://ccsblog.burtongroup.com/collaboration_and_content/2009/10/lotus-notes-and-domino-851-ibm-is-ready-to-compete.html

Have a read.

Notes 8.5.1 Additional Features

Notes 8.5.1 whilst only a point release has lots of new features. Making it just that bit nicer to use.

1 of my favourites, is the auto correction of common spelling mistakes, such as correcting the to the. Now I have a problem here as I am editing this text in Notes and it is auto correcting!!!!!

Anyway here is the list curtsey of Darren Adams:

   1. Accept / decline a calendar invite from the preview pane, and other calendar actions like checking your calendar. Nice.
   2. Mouse resizing of table columns, and dragging contents from one cell to another. And you can shift-click to create new columns and rows.
   3. Text tools on the tool bar – such as a colour picker and highlighter pen.
   4. A much-simpler and quicker method of inserting a URL or assigning a URL to selected text.
   5. You can now select a preference for unread e-mail – bold black or normal red.
   6. There’s some more roaming improvements, including roaming of the Notes workspace.
   7. Empty your Trash folder with a right-hand mouse click.
   8. Drag an e-mail onto the main or side-bar calendar to create a new calendar entry.
   9. Drag shortcuts and documents onto the open button and bookmark bar.
  10. Numerous archive improvements – a visual indicator that you’re looking at an archive, and a ‘Recently Archived’ folder shows you what you, errr, recently archived. It’s also easier to open an archived e-mail from the summary that remains in your main mail box.
  11. Append a vCard to your mail signature.
  12. Improvements to the process of creating a widget, including making a widget from a plugin. And you can look at widgets as a list in the side-bar.
  13. Add a Notes view as a search engine to the search bar (very nice and very useful).
  14. Add another web search engine to the search bar – for example, I just added dictionary.com.
  15. XPages support for the Notes client – I’d be lying if I said I fully understood it, but I’ve had a go and it works. The offline support means that you can create what looks and acts like a web application when used through a web browser, but then run it offline with the same look and feel in the Notes client with a single design.
  16. And there’s loads of new things in the Domino Administrator, on the Domino server itself, and in iNotes (like unread message count on folders).
  17. Last-minute addition – you can now set up to ten sender colours to distinguish e-mails from important people. Previously you could have just three. I wonder if this is a good idea – setting ten colours could be seen as going overboard, and may take the focus away from those few important people. Still, if you like a bit of colour in your life, here’s to the rainbow inbox.

Thai Version:

Bookmark

Notes client.

Notes 8.5.1 announcement and Launch date

Tuesday was the big announcement day for 8.,5.1, Ed Brill did a brilliant job of blogging about how the day went over 4 separate Blogs. Bit like reading a thriller story in 1 day.

<a href="http://1.bp.blogspot.com/_ncqhCDnyNI0/SsxneWoltvI/AAAAAAAAABo/hHezkeeVTnw/s1600-h/Notes+8.5.1+graphic.jpg" imageanchor="1" style="clear: right; This is I think, a really good move on IBM's part as it will allow a class of people who have never even heard of Lotus Notes the chance to develop applications for Notes.

It will also help us Business Partners as it will increase the pool of skilled developers that are out there. Its OK in the US and Europe there are a lots, but here in Asia, there are very few and most of them are ones that Business Partners have trained, so to have a new pool to choose from is great.

Darren Adams, has a very good blog entry on Notes 8.5.1 and I will steel some of his featuers of 8.5.1:

Oodles of new features in the Lotus Notes client

Lotus Traveler now supports the Apple iPhone

Many improvements to Domino Designer, including new LotusScript and Java editors

Significant improvements to the process of building composite applications

Simplification of the licensing model, down to two Client Access Licenses (Messaging and Enterprise)

Domino Designer is free

Tomorrow I will post a bigger list of 8.5.1 Features.

Thai Version
Domino Designer

Lotus Notes Client

(Massaging and Enterprise)

Customer Story using ContactPower for Contact Management

As the customer does not want his company name in Price I shall refer to his company as ABC. They are one of our oldest Customers and have use CPP for a few years now.

I would first like to give you a brief explanation of the IT set-up and the business of company ABC prior to installation of ContactPower on the Lotus Notes Platform to give you a clear view on how savings of such a huge amount were achievable.

Company ABC is in the garment manufacturing business. They have around 2,000 staff most being factory staff with a small percentage of about 100 office staff, of which the offices are spread around in various areas of the factory covering an area of around 3-4 km.

The entire product is produced for export and they had the need to communicate with their customers on a regular basis overseas. Prior to the installation of ContactPower they had been doing this through two internet email accounts shared among eighty users and apart from the email account it was done through faxes and many International Telephone calls. So they were incurring some large international phone bills. This was the first problem, which needed to be solved.

The next problem they had was communication within the company. As they were all so spreading out, there were a number of issues, which were a problem. Although they had a small Network which was set-up for a manufacturing application the network wasn’t really being utilised enough for internal communication. So when customers needed information as to where their order was in the production line it could take up to two days for the sales people to find out an answer for the customer. Other than this the method of sending memos to other departments would mean writing a memo, putting it into a memo tray and waiting till the runner picked up the memo to take it to another department.

Another problem they had was the labour intensity when receiving faxes and sharing information the process would work like this:

When the fax was received whether it was 1 page or 30 pages it would first need to be copied 5 times and then distributed to various people and departments around the organisation. This would then need to be filed in all the various places. This as well as being extremely labour intensive was also very costly. As you will see here below not including the cost of distribution which is quite difficult to quantify this is really very wasteful.

Average Number of Copies per day

Seconds to send text fax

This is based on the use of a standard fax machine and bearing in mind how long it takes to send a one-page fax. Based on 50 Faxes per day which would be quite normal for Company ABC and not taking into account the call charges or time spent while waiting for a connection they are the sort of costs incurred in time spent standing in front of a fax machine rather than carrying out more important tasks. Just think the sort of amounts of time which may be spent sending out marketing type of information which is sent to the masses imagine a two page fax to be sent to 2,000 companies. This kind of thing, which was quite common, was not taken into account in these figures although this was done on various occasions.
The decision to use ContactPower on the Lotus Notes Platform

So ContactPower seemed like the right choice. Firstly they would need improved methods of communication across international boarders. Secondly better communication within company ABC itself, they needed up to the minute information on their production processes and a better method to share information and cut costs.

How could ContactPower do this?

With the implementation of ContactPower, the Plan was to give all office staff email for use both internally and through the Internet. An electronic fax system would also be implemented in the form of the ExtraFax Server and initially two Notes applications. Firstly a Production Tracking System so as to give the sales staff and management up to the minute information on where orders were in the production system and be alerted of any problems and Secondly a contact management system with the idea to help share information and quickly be able to acquire any information related to a customer or supplier.

The investment

To be able to achieve what they wanted, it needs to be an initial investment of around 1 million Baht. This would be needed for purchasing hardware upgrading the network and all the software required.

The savings

The initial cost to implementing their new system including hardware, network improvements and software was 1,000,000 Baht. The savings were not immediate. It took two months before company ABC started to see the savings and not till 7 months later that those savings would really take off. This is because firstly it took a little while to really start using the system to its full potential and secondly it meant working in conjunction with the Comware consultants and the Company ABC management to ensure that the system was being used in the right way. The more obvious it became to company ABC on the savings the more investment they made in their IT infrastructure, although they were making further investment after 17 months they had paid for all the investment they had made at that stage and continued to make savings. The total Investment ended up at 2,000,000 Baht, including servers, Network expansion, leased lines and of course software.

How were these savings achievable?

Reduced Costs

Phone

Stationary

Rented Copiers

Staff

Phone Bills

Probably the most easily quantifiable and most immediate to notice savings were the reduced cost Company ABC had in their telephone bills. The bills dropoed from an average of 120,000 Baht in the 6 months prior to implementation to 40,000 1 year later.

This was not immediately easy to achieve maximum savings in this area. Firstly staff had to change their way of working. Internet email was now available to all members of staff with a PC and the use of it had to become the preferred way of working over both fax and phone wherever possible. Close management for the first couple of months helped this along.
Even where faxes were still being sent connection times were far less in certain cases due to faster connection speeds rather than the slow connection of the fax machine of 14.4 Kbps.

Stationary

Good savings were also made in this area. Although we have not been able to get any details in this area, you will see from the expenses incurred above prior to installation the sort of savings in this area. Fax Machines were no longer needed as all faxes were routed straight through the new Fax Server. This meant where as before to send a fax they would first need to print the fax out then go through the process of faxing they could now send the fax directly from their Notes client. Also when faxes were received they no longer needed to be copied and distributed but a link merely sent to the respective people.

Savings were also made on stationary where better availability of information relating to customers and suppliers was now available in their Contact Management system. Prior to the installation this information was scattered all around the organisation in filing and on PCs very often information would need to be reprinted due to incorrect filing or loss.
Rented Copiers

Due to less need to copy information Company ABC were able to reduce Photocopiers shared across the organisation by two. These had an overall rental and service cost of 15,000 Baht per month per machine so this meant with the implementation of Notes along with the Comware applications they had savings of 30,000 Baht per month in this area alone.

Staff

The savings here were not immediately noticeable in terms of money. This could only be noticed when staff eventually left the company, however when this happened it was found that due to greater productivity and efficiency through the use of the Production Tracking System and Contact Management System they didn’t have the need to replace staff who had left and in the long term this saved them more than 60,000 Baht per month.
With the Production tracking system there was no more running around that needed to be done trying to find out the status of any particular job. All the information was now directly to hand. The same was apparent with the Contact Management System that customer and supplier related documents were now far more available and Sales staff were now able to work on the same documents in a far more effective manner.

Benefits as a result of the entire system

Increased Productivity

Better Customer Service

A cost savings in excess of 200,000 Baht per month

Reduced time to market

Further Developments

With the benefits reaped in since they have started up their new way of working, Company ABC have Looked to Comware for the development of further systems which have included: Human Resources Management, Stationary Inventory System and Quotation System which has enabled them to carry out quotes which they would never have considered before because of the time involved. Before they would have had to seriously consider which jobs were of the most value and were most likely to develop and quote on those only. Now what would have taken a day before now takes less than an hour.

This was all done a few years ago, when the Customer was using Notes 4.5, They have upgraded over teh years and are now on 6.5. We are talking to them about further savings by the upgrade to Notes 8.5.x

I didn't know Notes could do that

Below are some tips about how to use Notes and how to do things in a way that you might not know.. Please try them out and let me know what you think.

A) Ok the 1st one is not really a Notes trick it works with every application that I have tried, its part of Windows. If you are doing something and say paste the wrong picture and want to un do it you would normally go to edit and click on Undo. That actually takes a long time try this Hold the "CTRL"key down and press the letter "Z". This works for as many times as you application has undo.

B) If you are in an Notes application and wish to send several link to someone you don't have to copy each one individually. Just select the documents you want (tick in the left hand selection are in all Notes applications) select as many as you want they don't need to be next to each other.

Now there are 3 ways of achieving this:

1) Go to Edit then Select Copy as and finally select Table.
2) Right click in the view and choose "Copy Selected as Table"
3) click on the "Copy Selected as Table" toolbar icon. The icon looks like 1 spreadsheet on top of another

Now go to your e-mail (assuming that you wish to send these documents as an e-mail document) and simply past to the appropriate point in the e-mail. You will now see a table that has document link in as well as the maid column headers. These even works if you want to copy into a spreadsheet. Try it its great.

C) To Increase/Decrease font size in a document. Highlight text and then press F2 to increase and Shift F2 to decrease

D) To Convert text to be a bullet list. Select text and then press Alt (and hold) + "T", then "l"and then "L" as 2nd time

E) To Indent and out dent. Select text and press F8 to indent the text and Shift F8 to outdent.

F) On of the things I see a lot is that people launch attachments when all they want to do is just have a quick look. So rather then Open" try "View" its much quicker and allows you to view the document with out open the application that created it.

G) Did you know that you can drop and drop files from the Windows file manager into any Notes Rich Text field, including mail. This can be a real time saver.

Ok that's it for today, please try these and they will save you time and make using Notes just that bit easier.
Pictuers were created by Alan Lepofsky.

I will post more tips soon.

Thai Version

Copy Selected as Table"

What wrong with Social Networking for Business?

When individuals use social media such as Facebook, Hi 5 and Twitter they are posting things about them selves, remember that most of the users if this stuff are under 30. So they are telling there friends (mostly) that they are packing top go on holiday or have just listened to a song. This content only has any value to people who know the person, it has zero value to you and me.

Now companies are trying to extract value out of social communication to link communities together within there companies. In my view most companies do not have staff that are actually capable of using this sort of software. Lets face it 1% of the internet population contribute 90% of its content. Only 24.7% of the world population are Internet users, yes some countries have achieved 80% penetration, but they are small rich countries, where its easy to get Internet everywhere. Look at Europe where only 50% of the population are able use the Internet.

Even within the user population many people only use it to send and receive mail and may be read an internet newspaper.

I believe that social networking will be many many years before it is viable within a company, this is because:-

1) Many people within a company do not yet use social networking at home so don't understand the concept.
2) They are not comfortable with using a computer to share there work knowledge, this is especially true in Asia.
3) The tools that are provided by companies are very crude and not that user friendly.
4) The company its self does not understand what knowledge it needs to share and with whom.

Just putting up a Wiki does not mean that people will contribute to it. The company has to build a culture of sharing information and not keeping it secret. Just as in the 90's companies re engineered their process to deal with using e-mail and other corporate computer applications. Now almost 20 years on we need to re-engineer the entire company process so that there is a focus on using internal applications that allow you to share information.

I think that a good place to start is the companies contacts, not just its customers, but its suppliers and also its information providers, Generally in a company The sales people will have there own data for there customers, the accounts depart will also have its own as will other departments. If you can get all this information in to a single place and so that all staff can look at what is transpiring between companies and there suppliers, customers and prospects. Then you will achieve a significant impact on the way that company works.

One product you can look at is ContactPower from Evergreen Comware, it allows the sharing of all this information across the company.

Think about it.

Thai Version

(Networking)

How recent contacts works

The following article appeared on the Lotus developers Web Blog. It gives you a really good idea how recent contacts works. If you don't know what recent contacts are, open your Notes address book and the 1st heading you will see is recent contacts.

Here are some details on how Recent contacts works. Think of it more like "Frequent Contacts."

Philippe encounters "Recent Contacts" in 2 ways:
1. The order of names he sees in his type-ahead when he addresses email
2. in his "Recent Contacts" view in his personal contacts (Address book)

After he sends an e-mail or closes an e-mail after reading it, Notes stores the sender's or recipients' information and uses it to determine the order for his type-ahead drop-down. Contacts that he sends or receives e-mail from more frequently will appear higher on the type-ahead drop-down list. If he saves his chat transcripts to his mailfile, then the names of those people are added when he saves the chat.

This means that if he sends one mail to "John Banks" today, but that yesterday he sent 10 mails to "John Lance", that John Lance will appear higher in the list, as shown in the screenshot below (even tho the John Banks was actually more recent.)

We agonized of wording (and how the feature actually worked etc) and started with "Recent Contacts" -- I wish we'd gone with "Frequent contacts" but I don't think it's worth the cost of changing (and translating) at this point, because (I hope at least) that in many cases, if someone is frequent enough, then they are also "recent" and the details of all of this are transparent to folks like Philippe.

Anyway, the maximum number of people that Philippe can have in his Recent Contacts is 3000. His administrator can change the maximum number of contacts allowed with the Notes.ini DPAB_MAX_DIP_TABLE_SIZE=1

How's that for a completely cryptic ini variable! Let me explain:

DPAB,or “Dynamic Personal Address Book”, is a repository of recently seen high value contacts. It is represented in the use's Personal Contacts as Recent Contacts.

DIP,or “Dynamic Interest Profiler”, controls the weighting that determines the order of the type-ahead drop down list in Local Contacts and the Search Directory. This weighting represents the user's relationship to a person. It is based on the number of times the user sends and receives mail from that person, either as a To or CopyTo recipient. The DIP weighting is not visible to the user.

User Summary
The DPAB/DIP starts processing the names on unread mail when the mail is closed. The DPAB/DIP does not process mail from the preview pane unless the user has selected to mark documents viewed in preview as READ. The processing is also done when the user sends mail.

Processing is done in background queues so as to not disrupt the user. It collects the list of names and queues up that list for DIP weighting.

Next the names that are new to the DIP list are queued up to be added to the user's Recent Contacts. For each new recent contact, a new Recent Contact record is created. This record is created from the server contact when that can be found. If it cannot be found, the Recent Contact record is still created but it only contains the information that was available from the mail. A special case is made for Groups. The Group Recent Contact only contains a stub record with no members. It was felt that information in the Recent Contact group record was more likely to be obsolete than the content of a Person record. The members of the group will be retrieved from the server copy of the group record when they are needed.

The information in Recent Contacts is updated from the server contact information once every seven days.

The Recent Contacts and their weighting value are used when creating the type-ahead drop down list. The names displayed in both the Local Contact type-ahead drop down and the Search Directory drop down are sorted by 'weight', and not alphabetically, either by first or last name. Weight means how often a person or group has appeared in message address fields.

The Wikipedia Myth - Enterprise 2.0 Knowledge Management

This is one of the best documents I have seen on this subject. Everyone is talking about Web 2.0 and how its going to save the world. I have been saying for as long as Web 2.0 has been around, that its not as simple as that, its just a tool and you have to successfully be able to build that into your business. Most companies fail at it, so far.

Social networking works for individuals when they are not working cause they are generally sharing rubbish, not something important. After all when was the last time that you got anything important or worth while from Facebook, Linkedin or Hi5.

Here in Asia people actually don't want to share information cause they feel that it is giving away some of their power after all knowledge is power.

So if any company in this part of the world thinks that it can create knowledge sharing using Web 2.0 they are so wrong. It means a complete re engineering of the business to make it happen and I just don't see that happening here anytime soon.

What do you think?

Notes wins big

I see in Computerworld that US Bank has select Notes and is throwing out Exchange.

They will convert all 58,000 users to Notes 8.5, and adding Sametime, Quciker and Connections. They will have the migration done by 2010, that's quick. I know 1 large international supermarket chain, that 4 years down the road, is still trying to convert 3,000 users from Notes to Exchange. There bill for new hardware is massive, but the bill to replace the Notes software applications that they were running runs into millions and I don't mean Baht.

Companies get blinded to the fact that the MS platform, is very hardware hungry and only does e-mail. If you want to add on to that IM, applications, collaboration and work flow. You have to purchase much new server software, such as Sharepoint, SQL server and others. All this to do what you can do with 2 Domino servers, 1 for Notes and 1 for Sametime. Remember that the cost of Sametime IM is included in the Notes cost.

Look at the costs involved of a migration from Notes to Exchange. Then look at the other way around. Its just so much cheaper to move from Exchange to Notes.

Oh by the way Exchange, sharepoint etc. do not have any built in workflow. Notes does, right out the box there is workflow there.

Some other really big companies have moved to Notes 8.5 including HSBC Bank and Colgate-Palmolive and now US Bank. There will be many more as IT managers stop listening to Richmond's, blatant lies and actually start doing there job and look at the FULL costs of the platform.

<div class="separator" style="clear: both; IBM Lotus® Notes/Domino V7.0.0, V7.0.1, V7.0.2
14th April 2011 IBM Lotus Notes/Domino V7.0.3, V7.0.4

Whilst this may see a bit quick, it should be noted that Notes/Domino 7 originally shipped in September, 2005. The 7.x code stream has become the least-prevalent version of Notes/Domino active in market today (8.x is the majority/most prevalent, followed by 6.5, followed by 7). The vast majority of customers are upgrading to Notes 8.5.x code stream because of the large savings that they can make.

It has been reported that companies that have installed 8.5.x and implemented DAOS are making savings of between 30% and 70% of the storage space.
Notes 8.5.x is a major costs saver form companies with lots of users. For instance the use of DAOS (Domino Attachment and Object Service). Basically if you send an e-mail with a 5 Mb attachment to 10 people, rather than store a copy of that attachment 10 times the Domino server will store it once. Thus saving 95% of the storage space. Multiply this by 500 users and you will see that the saving are substantial.

It has been report that companies that have installed 8.5.x and implemented DAOS are making savings of between 30% and 70% of the storage space. To put it another way, if you have 500 users and you make only a 12 meg space saving per user this will add up to 6 Gb of disk space saved. That is a very serious saving.

It does appear to me that companies in SE Asia are reluctant to upgrade, I know of several quite substantial companies in Thailand that are are still on the Notes 5 and 6 code streams. Even telling them the savings that they could make does not make them want to upgrade. Notes 5 is a very old product going back to 2000, so that will make it 10 years old in 2010. How many companies are running 10 year old MS products and have them function correctly today????

I find this strange as western companies do tend to do it, I wish that someone can enlighten me as to why this happens.

Thai Version

IBM Lotus® Notes/Domino V7.0.0, V7.0.1, V7.0.2
IBM Lotus Notes/Domino V7.0.3, V7.0.4

Domino Attachment and Object Service ( DAOS)

Notes Value for Money

<div class="separator" style="clear: both; Thanks to Ed Brill for the details of this survey. They have looked at the total cost of ownership of messaging systems. In fact there are 2 surveys, 1 looks at high availability servers, ie clustered. The 2nd looks at the cost of adding instant messaging and/or collaborative applications to a basic mail environment. The assumption is that everyone has a basic mail system anyway. Not sure that this is a valid assumption in SE Asia.

Anyway to cut a long story short they have found that since Notes 7 IBM Lotus Notes/Domino is far cheaper to acquire, operate, and maintain. Applicable finds that "IBM Solutions are up to 52% cheaper based on Infrastructure costs and subsequent user support costs." (That's without the Office license costs) In the category of adding advanced collaboration, Applicable finds that "IBM Solutions are up to 37% cheaper based on Infrastructure costs and subsequent user support costs." And in the category of deploying a full IBM vs. Microsoft net-new stack, Applicable also finds a 37% advantage to IBM.

No obviously these findings are based on a particular size of customer and are not always applicable to every size of customer. I have found that in Thailand Notes is dramatically cheaper to set-up as a new system than doing the same with with MS software.

Did you know that if you have MS Server 200x and a Windows client be it XP, Vista or Win 7, you also need a CAL (Client Access Licence), this costs about 1,500 EACH. On top of that you need a device CAL, that is any device that is connected to the network and can talk to the server, ie Printers etc. 1 of these costs you almost 800 Baht EACH. So you might think it stops there, well you would be wrong, you will also need a CAL for the MS Exchange (mail server) this costs a whooping 2,700. Remember at this point we have not yet brought Windows Server 200x or Exchange Server 200x, that's all to come. I have taken these prices from the standard Thai FFP and Open NL price list.

Just compare that to Lotus Notes which costs about 6,500. including the Domino Server, Sametime, Symphony, Lotus Traveller and lots lots more. Lotus Price based on Lotus Domino Express collaboration pricing, for 1 user. This scheme allows you to have multiple Domino servers and up to 1,000 Notes client.

Why would you buy anything else?

Thai Version:
Massaging

NL price list.

1,000 Notes client.

Notes 8.5.1

I have been Beta testing this for some weeks now, Friday the latest version arrived and its is a significant improvement over the original, as of course you would expect.

I find the speed very good even using Domino Designer. With the original beta release things were slow, Designer took ages to appear and moving between forms or pages took ages. This now appears to have gone and its nice and smooth and much faster.

Some of the sexy new things in 8.5.1 are:

1) Speed, its really fast. I can bring my Notes work space up in less than 20 seconds after my password. Off a restart its something like 2 or 3 seconds. If you are using 8.0x or 8.5.0, then 8.5.1. is defiantly for you, I suggest you upgrade as soon as its arrives, (approximately 3 weeks)

2) The ability to have up to 10 colours in your inbox. You can mark individuals with a fore ground and a background colour. This really makes it easy to differentiate between background mail and important mail, ie mail from Customers and people like your boss or important staff. See above: (pic from http://www.notesdesignblog.com/NotesDesignBlog/NDBlog.nsf)

3) The Archive system looks like its been reworked with a new look and features, I have always had issues with the Notes Archive, this looks much better.

4) This is a good one for people with a desktop and a laptop, roaming workspace, basically the work place get replicated so that you have a common desktop where ever, rock on.

5) In Line auto spelling correction. Notes will now correct misspells like teh to the. That's a big one for me as I always miss spell the.

6) There a load of new stuff for iNotes, like Policy settings, mail date shows as you scroll so you know when to stop. iNotes is the web version of Notes and really does look like the Notes client version. Nice work IBM.

7) Domino Designer, as I have said above its much faster and much more stable. There's a lot there for Domino Designers. One of the odd ones, for me, is the ability to have line numbers (remember basic programming) well you will find them in the Javascript editor and also the Lotus script editor. Makes check code differences much easier. There is now a code Template and also a comment template available in the Lotusscript editor, not played with these yet, so not sure. There are a lot of fix's to Xpages, so that its works properly now.

As I find new stuff I will post it.

Why are we here?

This Blog is about Me and my 20 year affair with Lotus Notes and Evergreen Comware group of companies.
